Adding Canvassing User Permissions

Overview

Administrative Users with the ability to manage access permission levels can enable Canvassing Module access for Users.

How To:

  1. On the main dashboard, scroll down and select “Administrative Users”

  2. Locate the staff member using the “Search” function,  then click the “Edit” option to the right of their name.



  3. There are two Canvassing Module-related options in the “Permissions” section of each Administrative User profile.



  4.  Select “Canvassing Management” for those users who are to have access to the Canvassing Zones, Canvassing Runs, and Canvassing Resident Complaint Tracking Functionality. 
    • Canvassing Managers will be able to create Zones; create, assign and complete Runs; view Runs for all Canvassing Representatives; and create and manage Address Reports. 
  5. Select Community “Canvassing Representative” for users who are to have access to the Canvassing Runs functionality only.
    • Canvassing Representatives will only be able to view their own runs, and adjust Walking Routes, and enter data for each.

  6. When adding Permissions for Canvassing Representatives, you may choose to add a “Rep Code” and a “Color Code” for each. 
    • The Rep Code will appear in some of the mapping functionality as a short-code (max 3 characters) to identify a Canvassing Representative. This code does not need to be unique and often Initials or First Names are used.
    • The Color Code will be used in the mapping functionality of the Zones section to identify which Canvassing Representative was last assigned to each Zone. Clicking on the color swatch will allow you to select any color you wish. Select different colors for each Canvassing Rep if you wish to be able to have color-unique differentiation of your Zone map by Canvassing Representative.
    • Both the Rep and Color Code are not required fields but they are useful when it comes to organizing your staff’s usage of the tool and therefore encouraged.
  7. It is recommended to add both “Canvassing Management” and “Community Canvassing Representative” permissions for your program managers.

  8. Once completed, select “Save” at the bottom of the screen.
