Program & Fee Changes

Overview:

Pricing and program changes will most likely occur after launching with DocuPet, necessitating system updates.

Potential updates include:

  • Licensing fee increases
  • New licensing products
  • Logo changes
  • Program policies

Although these adjustments may sound simple, they involve a complex process behind the scenes at DocuPet. Implementing a program change engages multiple departments, and requires thorough project planning, assessment of potential impacts on pet owners, and rigorous software testing to ensure everything is executed correctly.

License Fee Changes:

Licensing fee changes are among the most common requests from our partners. Consequently, each fall, our team proactively reaches out to discuss any plans for fee increases or the introduction of new licensing products.

To give you a clearer picture of the work involved in accommodating these changes, here are the software components that are affected and require consideration:

  • Licensing Generator
    • The licensing generators are code sets that determine which products to offer to which pets, considering factors like timing, pet attributes (e.g., sterilized, unsterilized), and pet owner attributes (e.g., age).
    • When a price change occurs, new license products must be created, the generator recoded, and thorough testing completed to ensure correct rates are applied.
  • Pet Owner Communications
    • Our automated communications system uses the licensing generator and scheduling logic to create and send letters, emails, and phone calls reflecting partner pricing and license expiration dates.
    • Communications are queued in advance, and a software command validates whether they should be sent on the scheduled date.
    • At the time of sending, the correct products and prices are pulled into the communication from the generator.
    • When pricing changes are pending, we often add customized language in communications to inform pet owners of the upcoming changes.
  • Pricing Changes on Website
    • Our development team updates the HTML on your organization’s DocuPet website to reflect the new pricing and its effective date.
    • These changes are typically made on the day of the pricing change, so it is helpful if this does not fall on a weekend or holiday.

Due to the effort involved, DocuPet requires a minimum of TWO MONTHS NOTICE for price changes to be executed at no cost.

 

Program Changes:

Outside of licensing fee changes, DocuPet understands that other program changes and requests will occur. We ask that you always keep DocuPet aware of changes that might be upcoming within your organization and licensing program.

These may include:

  • Logo Changes
  • Brand/Name Changes
  • Safe & Happy Partner Changes
  • Policy Changes (allowing temporary licenses, changing refund policies, etc.)

DocuPet will work with your organization to facilitate your changes for you complimentary as long as proper notice is given, the requests remain infrequent, are reasonable, and are within our software capabilities.

Custom feature requests that are outside of what was originally agreed upon during the initial launch may come with additional charges but should always be discussed with your Licensing Program Manager to chat through the logistics. 

 

Important Considerations:

Please note that any program changes will take TWO MONTHS to initiate.
