Auditing Approved Proof Documents

This process is helpful for organizations using auto-approval, as well as for administrators manually reviewing proof documents, to understand where submitted proofs can be found and how they can be reviewed. This article also explains what steps to take if an inaccurate or incorrect document is identified.

Where to Find Approved Proof Documents

Approved proof documents can be found in two locations:

1. Proof Document Verification Tool

  • Navigate to the Proof Document Verification tool

  • Open the Approved Proofs tab.

  • This tab contains all proof documents that have been automatically approved by the system.

2. Pet Owner Profile

  • Proof documents are also available directly on the pet's profile, inside the pet owner’s account.

  • You may audit documents from the pet owner profile at any time.

There is no limit to how often proofs can be reviewed or audited.

Auditing Proof Documents

While reviewing approved proofs, you may come across documents that are:

  • Incorrect

  • Expired

  • Uploaded for the wrong pet

  • Illegible or incomplete

Auditing Criteria

You may want to reject a proof document if:

  • ❌ It is not an approved document type;

  • ❌ Pet or owner information does not match the account;

  • ❌ The document is illegible;

  • ❌ The pet owner resides in another municipality;

  • ❌ The vaccine type is not accepted by your organization.

If a document appears inaccurate, the steps below outline the recommended actions.

Option 1: Contact the Pet Owner to Resubmit Proof

1. Use the Pet Owner Record Search tool to locate the pet owner’s profile.

2. Contact the pet owner and request that they:

  • Upload a corrected document directly to their profile, or

  • Visit in person to provide updated documentation, if applicable for your organization.

This option is recommended when the issue can be easily corrected by the pet owner.

Option 2: Contact Administrator Support

If further action is required, you may contact Administrator Support at support@docupet.com for assistance.

Administrator Support can:

  • Reject an approved proof document, or

  • Cancel a license, if the license was issued based on inaccurate documentation.

When reaching out to Administrator Support, be prepared to provide:

  • Pet Owner ID

  • Pet name

  • Description of the issue

  • Requested action (proof rejection or license cancellation)

Important!

When auto-approval is enabled, all proof documents are automatically approved, but they remain fully accessible for review.
