How to add a Pet Owner

Overview

Before creating a new pet owner profile, administrators must first perform a search using the Pet Owner Record Search tool. This helps prevent duplicate accounts from being created and ensures existing records are used whenever possible.

Once you have confirmed the pet owner does not already exist in the system, you can proceed with creating a new profile.

Step 1: Search for the Pet Owner

From the home page, click on Pet Owner Record Search.

Enter the pet owner's information, such as:

  • First name.
  • Last name.
  • Phone number.
  • Address.
  • Other identifying information, if available.

Click on Search and carefully review the results.

Important: You must conduct a search before the system will allow you to create a new pet owner profile.

If the pet owner already exists, open the existing account instead of creating a duplicate profile.

Step 2: Create a New Pet Owner Profile

If the pet owner does not appear in the search results, click on Add Pet Owner.

You will be taken to the Pet Owner Details screen where you can begin entering their information.

Step 3: Complete the Pet Owner Information

Fields marked with a red asterisk (*) are required and must be completed before the account can be saved.

Required information includes:

  • First Name.
  • Last Name.
  • Primary Phone Number.
  • Physical Address.

Depending on your organization's setup, you may also be required to enter additional information.

Date of Birth

If your organization offers senior licensing discounts, be sure to enter the pet owner's date of birth so the system can determine eligibility.

Email Address

Although email is not required, it is strongly recommended.

Providing an email address allows the pet owner to:

  • Receive renewal reminders.
  • Receive order confirmations.
  • Access online account features.
  • Receive other important communications.

If entering an email address, be sure to enter it correctly in both email fields to confirm accuracy.

External Identifier

If desired, you may also enter an external identifier, such as:

  • Driver's license number.
  • Customer reference number.
  • Other organization-specific identifiers.

Step 4: Enter Contact Information

When selecting a Primary Number Type, the required phone number field will automatically adjust to match your selection.

Enter the phone number as a continuous string of numbers without special characters whenever possible.

Example:

This helps ensure the account is created successfully and contact information is stored consistently.

Step 5: Review Communication Preferences

The Communication Opt-Out section allows pet owners to indicate how they would prefer to receive communications.

Pet owners must remain opted into at least one method of communication.

The Marketing Communication option controls non-essential communications, such as newsletters and promotional messages.

Unless specifically requested by the pet owner, this section typically does not require any changes.

Step 6: Confirm the Address

One of the most important steps when creating a pet owner account is confirming the address.

Begin typing the physical address and select it from the suggested list if available.

If the address does not appear, you may enter it manually.

Important: The suggested addresses are provided as a reference only and are not linked to existing pet owner records in the system.

If your organization requires address validation, click on Validate Address when prompted.

After confirming the address, verify that the correct jurisdiction has been assigned.

Step 7: Verify the Mailing Address

By default, the system assumes the mailing address is the same as the physical address.

If the mailing address is different:

  1. Uncheck the mailing address checkbox.
  2. Enter the mailing address information.

If both addresses are the same, leave the box checked and continue.

You may also see a Returned Mail option. This field does not need to be updated when creating a new account and is typically only used later if mail sent to the pet owner is returned.

Step 8: Add Internal Notes (Optional)

If necessary, you may add notes to the pet owner profile.

These notes are visible to administrators only and cannot be viewed by the pet owner.

This can be useful for:

  • Special instructions.
  • Account context.
  • Internal follow-up information.

Step 9: Save the Account

Once all required information has been entered, choose one of the following options:

  • Save Pet Owner Details – Creates the account and takes you to the newly created profile.
  • Save Details and Add Pets – Creates the account and begins the process of adding a pet.
  • Cancel – Exits without saving.

Once saved, you can:

  • Review or edit the pet owner's information.
  • Add pets to the account.
  • Create license orders.
  • Perform any other account-related actions directly from the pet owner profile.
