This article explains how administrators can add a new pet to an existing pet owner’s account.
How To:
Step 1: Locate the Pet Owner Record
Start by using the Pet Owner Record Search tool.
- Open the Pet Owner Record Search.
- Enter search criteria such as:
- Pet owner first and last name (recommended).
- Pet name (optional).
- Any other available identifying information.
- From the search results, click on the pet owner’s name to open their profile.
Step 2: Open the Add Pet Function
- Once inside the pet owner profile, locate the right-hand side panel.
- Click on Add a Pet to begin creating a new pet record.
This will open the pet details form where all required information must be entered.
Step 3: Enter Pet Information
Complete all required fields marked with a red asterisk (*).
This includes key pet details such as:
- Pet name
- Breed
- Coat color
- Sex
- Sterilization status
If the breed is unknown, you may select it from the dropdown or check the option indicating the breed is unknown.
The coat color is an important field as it supports pet identification in the event the pet is lost. Additional characteristics such as coat length, pattern, or distinguishing features may also be added if available.
Step 4: Add Additional Pet Details
You may also provide additional information to further define the pet’s profile, including:
- Physical characteristics (e.g., ear tipped, tripod, etc.).
- Date of birth or approximate age.
- If the exact date of birth is unknown, you may select the option indicating the pet owner does not know the DOB and enter an estimated age instead.
Step 5: Set Sterilization Information
Select the pet’s sex and sterilization status.
If the pet is marked as spayed or neutered:
- A confirmation prompt will appear.
- You must confirm whether valid documentation has been reviewed.
- This confirmation will generate a digital proof record on the pet’s profile.
Step 6: Add Microchip Information (optional)
If available, enter the pet’s microchip number.
This field is used for identification purposes and supports reunification in lost pet scenarios.
Step 7: Add Veterinary Information (optional)
Select the pet’s veterinary clinic from the list provided by your organization.
Step 8: Rabies Information
If applicable:
- Select Rabies Exempt, if the pet qualifies, OR
- Enter the rabies vaccination expiration date.
You will also be prompted to confirm whether rabies documentation has been reviewed.
This confirmation will generate a digital rabies proof record on the pet’s profile.
Step 9: External Identifiers, Flags, and Notes
At the bottom of the form, you may:
- Enter an external identifier, if required by your organization.
- Review and apply any relevant license flags.
- These flags may impact licensing fees or eligibility depending on your program rules.
- Add internal notes, such as:
- Distinguishing features.
- Behavioral notes.
- Any additional context useful for staff.
Step 10: Save the Pet Record
Once all required fields are complete, click on Save Pet Details.
After saving:
- The pet will appear in the right-hand side panel of the pet owner profile.
- You can click the pet to view the full profile and any generated digital proofs.
Important Notes
- A pet can only be deleted if no licensing data exists.
- Once licensing data is attached, the pet can no longer be deleted and must instead be inactivated if required.
