How to Manually Adjust an Extendable License

Overview/Use Case:

The DocuPet system is set up to extend the expiration date of an extendable license automatically when an updated rabies proof is uploaded and approved. However, there are situations when an administrator can choose to manually extend a license expiration date in order to accommodate a Pet Owner, or to resolve an expired extendable license.

Examples:

1. Pet Owner uploads updated rabies documentation prior to previous rabies expiration date, but the proof is not approved prior to the expiration date and the license expires (only applicable for Organizations who are internally responsible for Document Verification).

2. Pet Owner is not able to get Pet's rabies vaccination updated prior to expiration date due to no fault of their own (i.e. vet clinic cannot accommodate administering rabies vaccination booster prior to expiration date)

How-To:

Step 1: Navigate to the appropriate Pet Owner profile using the Pet Owner Record Search Tool.

Step 2: Navigate to the 'Licenses' section of the Pet profile within the Pet Owner's account. Click on the hyperlinked License Name (Remember, extendable licenses have a pink banner so they are easily identifiable).

Step 3: Extend the Expiration date of the License to the desired date. (For example; if a PO calls and says they cannot get the rabies vaccine updated until May 8, 2026, you may wish to extend the expiration date to May 10, 2026)

*Remember to adjust the Renewal Available Date and Automatic Billing Date accordingly. Click 'Save'.

Step 4: You can now see the updated expiration date reflected on the Pet's profile. Renewal and expiry communications will now be sent in correspondence with the new expiration date.
