Processing a Legacy License

Overview

A Legacy License is a license that was issued before your organization began using DocuPet. Administrators can add these licenses into the system to ensure historical licensing information is preserved and records remain accurate.

Legacy Licenses are only available in certain jurisdictions. If you are unsure if this applies to your organization, please reach out to your managing Administrator. If Legacy Licenses are not currently enabled within your organization and you would like to add them to your program, please contact your dedicated Relationship Manager.

How-To: 

  1. Locate the pet owner via the Pet Owner Record Search or add a new pet owner to the system. In their profile click “New Order” in the Order History section.

  1. Eligible pets will show under “Currently Eligible". Pets are eligible if they don’t have a current license, or the renewal window is open for the pet. Click “Confirm License Details and Add to Order" to proceed.
  1. Verify that the contact information is correct. If any required fields are missing or require an update, you will be prompted to do so before being allowed to proceed with the “Contact Details are Correct”
  1.  On the Pet License Information page you may want or need to update information:
  • Microchip details
  • Spay/neuter status and associated proofs if applicable
  • Rabies expiration dates and documents.
  1. If your program requires validating rabies vaccination, select an expiration date in the future. You will then be prompted to create a “Digital Proof” verifying the documentation was reviewed and/or uploaded.
  2. Click “Continue” to proceed. 
  1. On the License Selection screen, use the dropdown to select Legacy License.

  • The associated fee may vary depending on your organization.

  • If the Legacy License option is not visible, it may not be enabled for your jurisdiction.

  1. Next is the tag selection. If a DocuPet tag is already on file for the pet you will have the option to skip tag selection and reuse their existing tag.
     
  2. Offer the pet owner the standard tag or a designer tag option.
     
  3. Customization options:
  • Tag size: small or large
  • Personalization: add their pet’s name and a phone number for $9.99
  • Connector options: prices vary, the standard split ring is free
  1. Click ”Add to Order”
  1. On the main order screen, review the order summary on the right-hand side of the screen.

  2. When completed click “Continue”.
     
  3. On the payment screen, indicate what payment method you are accepting for this order. You can make use of the Reference Field if you wish. To process the order, click “Continue”.
  1. You should now see the final Order Summary page.

  2. Open the Legacy License product on the pet’s profile and confirm the dates are correct:

  • Expiration Date should match the original license expiration date.

  • Renewal Available Date should be set to 60 days before the expiration date.

  • Automatic Billing Date should be set to one day before the expiration date. (This is not an active billing function but is required for the system to accept the expiration date.)
    Select Save.

  1. Click “Save”

Important Considerations

  • Legacy Licenses are only available in some jurisdictions. If you are unsure, check with your managing Administrator.

  • The Legacy License product must be enabled for it to appear as a selection option.

  • Always ensure the expiration date of the Legacy License matches the original record.
