How to Update Temporary and Extendable License Flags

This article explains how administrators can update the Temporary License and Extendable License flags directly from a pet’s license record. 

Who Can Use This Feature

  • This functionality is available to administrators with DVS (Document Verification System) access.
  • No additional permissions are required beyond DVS access.
  • If you do not see these options, confirm with your manager that your account has "Review Proof Documents" access enabled.

When to Use These Flags

Temporary License Flag

Use the Temporary License flag in situations such as:

  • Pets marked as rabies-exempt that have not yet submitted valid exemption documentation.
  • Licenses that need to be marked temporary due to invalid or missing rabies documentation.
  • Cases where a license was temporarily issued and needs to be updated once valid proof is provided.

Extendable License Flag

Use the Extendable License flag in situations such as:

  • Manual extensions granted by your organization.
  • Cases where additional time is required before finalizing license details.
  • Situations where the flag needs to be added or removed to correct a record.

How to Update License Flags

1. Open the Pet Owner account and navigate to the pet’s profile.

2. Click on the license you would like to update.

3. By clicking on the license hyperlink, you will access the license edit screen. Locate the following options:

  • Temporary License
  • Extendable License

4. Select the checkbox to apply a flag, or unselect it to remove the flag and click on Save.

Once saved, the updated flag will be reflected immediately on the license record.

Temporary licenses are displayed in purple, while extendable flags appear in pink. For more details on license color meanings, please refer to our HelpDesk article here.

Activity Logging

All updates to these flags are automatically recorded in the system, including:

  • The administrator who made the change.
  • The date and time of the update.
  • Whether the flag was added or removed.

These updates will appear at the bottom of the pet owner account under the Activities section.

Important Notes

  • These flags should only be used when a license requires a verified exception or manual adjustment.
  • Always ensure changes align with your organization’s policies and licensing requirements.
  • If you are unsure whether to apply a flag, consult your internal guidelines or reach out to your internal team.
