Direct Fulfillment - How to Process a License Order - Handing the Pet Tag Over the Counter

Overview

Direct Fulfillment allows administrators to issue a pet license and provide a physical DocuPet tag to the pet owner immediately at the counter.

During this process, the license is created, payment is collected, and the tag is linked directly to the pet's license before the transaction is completed.

Step 1: Locate the Pet Owner

From the main dashboard, open the Pet Owner Record Search tool.

Search for the pet owner using their first and last name, phone number, email address, or other identifying information.

Once you have located the correct account, click on the pet owner's name to open their profile.

Step 2: Start a New Order

Within the pet owner's profile, locate the Order History section on the left-hand side of the screen.

Click on New Order to begin the licensing process.

Select a Vendor

If you have been assigned a default vendor, it will automatically populate.

If you have access to multiple vendors, select the appropriate vendor before proceeding. The vendor selected determines how the transaction appears in financial reporting.

Step 3: Select the Pet to License and Verify Contact Information

Eligible pets will appear under the Currently Eligible section.

A pet may appear as eligible if:

  • The pet has never been licensed.

  • The pet's license has expired.

  • The pet is within your organization's renewal window.

To begin licensing the pet:

1. Click on Confirm License Details.

2. Review the pet's information.

3. Click on Add to Order.

Before proceeding, the system will ask you to review the pet owner's contact information.

If any required information is missing or incomplete, you will be prompted to update it before continuing.

Once everything has been reviewed, click on Contact Details Are Correct.

Step 4: Review Licensing Information

The Pet License Information page allows you to review and update information required for licensing.

Depending on your organization's requirements, this may include:

  • Microchip information.

  • Spay/neuter status.

  • Sterilization proof documentation.

  • Rabies vaccination information.

  • Rabies exemption information.

If your organization requires rabies validation, enter the rabies expiration date shown on the vaccination certificate.

You will then be prompted to create a Digital Proof, confirming that the documentation was reviewed or uploaded.

Once all information has been verified, click on Continue.

Step 5: Select the License Type and a Direct Fulfillment Tag

The system will automatically recommend the most appropriate license based on the information available on the pet's profile.

For example:

  • Sterilized pets will automatically be offered an altered license.

  • The shortest available license duration will be selected by default.

Administrators may use the dropdown menu to select an alternate license type when appropriate, such as:

  • Multi-year licenses.

  • Discounted licenses.

  • Special license categories.

Because the pet owner is receiving a tag immediately, select Yes under Giving the pet tag now?

Next, select the appropriate tag product.

If your organization offers multiple tag options, ensure you select the correct size and style.

Examples:

  • Small tags are identified with 1/S.

  • Large tags are identified with 3/L.

If your organization requires it, read the license expiration disclaimer to the pet owner and confirm their verbal understanding before proceeding.

Once the tag has been selected and you've confirmed the disclaimer, click on Continue.

Step 6: Review the Order

After all licensing and tag selections have been completed, you will be returned to the main order screen.

Review the order summary displayed on the right-hand side of the page.

This is also where you can add:

  • Additional fees.

  • Donations.

  • Additional tags.

  • Other available products.

Once the order has been reviewed, click on Continue.

Step 9: Process Payment

Select the payment method being used for the transaction.

If desired, you may enter additional information in the Reference Field for tracking purposes.

After entering payment details, click on Continue to process the order.

Step 10: Assign the Physical Tag

After the order has been placed, the system will prompt you to enter the HomeSafe® code located on the back of the physical tag you are providing to the pet owner.

Enter the tag code exactly as it appears.

Click on Validate to confirm the tag number.

This step links the physical tag to the license and pet profile.

Important!

Always click on Validate before proceeding.

Do not click on Skip, as this will leave the tag unassigned and prevent it from being connected to the license that was just sold.

Once the code has been successfully validated, click on Complete Fulfillment.

Order Complete

The licensing process is now complete.

You will be taken to the final Order Summary page where you can:

  • Print a receipt.

  • Print a Pet License Proof.

  • Review the completed order.

If the pet owner has an email address on file, they will automatically receive an order confirmation email with their receipt attached.

The pet's license is now active and the physical tag has been successfully linked to their account.
